Photo Show Entry Conditions

Please read all the conditions before submitting anything

  • The size of any print is to be no larger than A3 (42cm x 29.7cm) with a mount not larger than 50cm x 40cm.
  • Prints may be produced by the entrant themselves or commercially but must be securely mounted on card, foam board or similar. We cannot accept framed and canvas prints.
  • Each entry must be marked on the back with the title of the photograph, name of photographer and the price if the print is for sale (see Sale of Prints section for more information).
  • All entries must be accompanied by a correctly completed entry form.

How to Submit Entries

  • There are no subject categories - feel free to enter photos of whatever you choose, subject to the conditions below.
  • Entries must be the work of the entrant, be original in concept, and must be the copyright of the entrant. Entries must not use clip art, stock photographic images or images generated by AI.
  • Entries submitted to previous Photo Shows will not be accepted.
  • The organisers reserve the right to withhold from public exhibition any entry which in their absolute discretion they consider to be undesirable in content.
  • No entries will be accepted from persons under the age of 16 unless written approval has been received from one of the entrant’s parents or legal guardian.
  • Entrants grant the organisers the right to reproduce their entries (without fee) in connection with the photo exhibition. This may include publishing the image in the exhibition catalogue or on a website or public social media platforms associated with the exhibition or the organisers.
  • Entrants must accept that images displayed on the internet by the organisers are at risk of being downloaded. Although the copyright of the image remains with the entrant the organisers cannot be held responsible for any downloading or for any use to which the downloaded image may be put.
  • The organisers will not be responsible for any loss or damage to entries however caused.
  • The organisers will have the final decision regarding application of these conditions.
  • Submission of an entry is deemed to be acceptance of these conditions.

Digital Entry Requirements

  • The image files must be in JPEG format and a minimum of 2400 pixels on the longest side.
  • Entries may be submitted as email attachments or on a memory stick.
  • The filename of each image must be the same as that appearing on the entry form.
  • Memory sticks must be clearly identified with the owner’s name and must contain the work of one author.
  • Authors will be identified on a rolling slide show of all entered images together with a notice acknowledging copyright.

Print Entry Requirements

Sale of Prints

  • Print exhibits that the entrant may offer for sale must be clearly marked on the back with an indication that the print is available for purchase and the purchase price.
  • Prints on display must be available to the purchaser. No substitutes will be allowed.
  • Entry forms must be marked to show those prints which may be purchased together with the purchase price.
  • 10% of the purchase price must be donated to West Haddon Photo Club.
  • The exhibition catalogue will indicate prints which are for sale and their price.
  • When prints are purchased a red dot will be affixed and these prints must not be removed before the end of Photo Show.
